Job Summary
The role provides administrative and document control support to project teams by managing electronic records, maintaining internal data systems, and supporting SharePoint sites. This position also coordinates internal meetings and events while ensuring accurate, timely communication and organization across teams. The ideal candidate is detail-oriented, deadline-driven, and comfortable working with modern collaboration tools in a fast-paced professional environment.
Job Description
- Document control responsibilities, including the timely retrieval and storing, numbering, sorting and filing of electronic documents produced by clients, pursuit teams or departments
- Internal data maintenance
- SharePoint site generation and maintenance
- Coordinate and arrange internal meetings/events, including agenda preparation, meeting invitations, room reservations, and preparation of facilities and resources including virtual conferencing tools
Skills Required
- At least 3 years experience in a professional setting; A/E/C industry preferred but not required
- Proficient in Microsoft Office products including Word, Excel, Outlook, Teams
- Able to provide examples of administrative projects you have managed from conception through completion
- Experience and ability to navigate and adapt to various outside online platforms to access client documents and information
- Experience working with modern technologies such as SharePoint, video conferencing, etc.
- Deadline-driven with a sense of urgency
- Strong professional interpersonal, written and verbal communication skills
- Able to take direction and provide timely feedback on progress of tasks
- Exceptional attention to detail, organization and active listening skills
- Strong emotional intelligence
- Ability to manage multiple tasks
- Bilingual Required
- People Skills- they will be working with the field employees and assisting with day 1 onboarding.
Education/Training/Certifications
- High School degree or GED
Additional Requirements
- Hours would be 8-5 but can be flexible, Monday – Friday
Pay Rate/Salary
- Pay Rate $ 22-25/hr (Actual compensation is subject to variation due to such factors as education, experience, skillset, and/or location.)
