Scope of Work / Responsibilities
The Medical Front Desk Virtual Assistant will support the clinic during non-clinic hours, ensuring that no incoming leads are missed and that patients are scheduled promptly and accurately. This role functions as a remote Front Desk Receptionist and Administrative Assistant for the clinic.

Incoming Call Management:
- Answer phones in real time during non-clinic hours to prevent missed leads.
- Handle patient inquiries professionally and efficiently.
Patient Scheduling and Booking
- Immediately schedule patients into appointments.
- Ensure accuracy when entering appointments into the system.
Insurance Verification and Benefits Checks
- Handle insurance-related inquiries.
- Complete insurance verification tasks accurately.
- Confirm and document patient benefits properly.
Administrative Support
- Perform administrative tasks during slower periods when calls are not actively coming in.
Systems Used
- Jane App (EHR/EMR system)
- Virtual PBX phone system
Requirements
Skills & Qualifications
- At least 1 year of healthcare or medical virtual assistance experience, particularly in patient scheduling, appointment setting, and insurance verification
- Experience handling live inbound calls
- Strong English proficiency and verbal communication skills for patient interactions
- Familiarity with medical or clinical terminology
- Detail-oriented, especially in scheduling accuracy and insurance information
- Able to work independently in a remote environment
- Medical background (e.g., nurse or similar clinical experience) is a plus
- Experience using Jane App is a plus
- Experience using a PBX phone system is a plus
- Experience working in an acupuncture practice is a plus
Basic requirements
- Must be proficient in speaking and writing English very clearly
- Must have relevant work experience
- Be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory]
- Must be available for video meetings with your camera on (when needed)
