Office Team Assistant - Part Time 20-25 hours per week

Swain Architecture are based in Beeston, close to Nottingham and Derby. We offer full range of residential and commercial architectural services. We work across the East Midlands, and further afield, designing spaces for people to live and work in; Whatever the brief, and whatever challenges we might encounter along the way, we want to make sure our client’s needs are met in full.

Role Summary

We are seeking an Office Support / Studio Administrator to become an integral part of our small, friendly, design-led team. This is a varied and responsible role for someone who takes genuine pride in helping a studio run smoothly and enjoys being part of a collaborative working environment.

As the first point of contact, you will represent the practice in a manner aligned with our values and brand, managing new enquiries and supporting positive client relationships. You will manage the Managing Director’s email inbox and provide day-to-day support to the Director, helping to prioritise communications, coordinate meetings and maintain an efficient workflow.

The role includes running office meetings, managing CPDs, liaising with planners, local authorities, building control, consultants and clients, and assisting architectural staff with the production of reports and documentation. You will also support work scheduling, helping to manage client expectations through clear, confident communication.

You will act as a point of contact for and liaise with external consultants, including the IT support company and the landlord, helping to ensure the office environment and systems run smoothly.

We are looking for someone who is assertive, proactive and highly organised, with a strong eye for detail and an excellent customer service focus. You will be confident picking up the phone, comfortable taking responsibility, and motivated to ensure the studio operates as a calm, professional and well-organised office.

Demonstrable skills and experience required

  • Strong all round office administrator experience
  • Proven customer service skills, face to face and via telephone
  • Diary Management experience
  • Excellent organisation skills
  • Confidence to organise team ways of working and identify and implement process improvements
  • Competent in the use of Excel, Word, Teams
